ASC RECORDS (SOUTH)-UPDATES

1.     Keeping in view of advancement in Information Technology and to improve human resource management in the Corps, ASC Records (South) has already started automating its manual functions through ‘Army Records Office Process Automation (ARPAN)’ application Software.

2.     ASC Records (South) has launched its website on Army Intranet on 06 Oct 2010. The website has become a logical communication, information dissemination and collection of feedback from the environment. Since launch of ASC Records (South) website, number of additional features have been added based on environmental feedback.

3.     Consequent to the revision of various orders and policies, a need has been felt for incorporating the latest Orders/Instructions on various subjects in the existing Record Office Instructions (ROI). Accordingly, the said ROI has been revised and issued as 'Combined ROI 2012 (Revised Edition)’ to help units for accurate documentation of JCOs & OR so that they and their NOKs receive all legitimate dues/entitled benefits timely.

SUCHANA KAKSH

4.     ‘Suchna Kaksh’ has been established near the Main Gate of ASC Records (South) for welfare of visiting JCOs & OR / Ex-Servicemen / Widows / Veer Naris and their dependents. One KIOSK has been installed in Suchana Kaksh and the following facilities are available :-

(a)     To Know Correct Pension Entitlement. The Software `SUVIGHYA’ designed by PCDA(P) Allahabad has been uploaded to know the correct entitlement of pensionary benefits.

(b)     Service/Personal Particulars. Website of ASC Records (South) is available on the KIOSK. JCOs & OR can view their service/personal particulars recorded in the Sheet Roll by using their log in credentials. They can also view their Pay Slips/Form-16 and take printouts. In case they noticed any discrepancy in their particulars, can drop their observations in drop box. The observations will be rectified within 72 hours.

Digitalisation of Non-Effective Sheet Rolls and Medical Documents

5.     It is observed that a large number of Ex-Servicemen / NOKs are approaching various Courts / AFTs for grant of disability pension / service elements. Since the service / medical documents are destroyed on completion of stipulated retention period, decision getting delayed due to non availability of service / medical documents. Department of JAG has confirmed that digitalized documents are acceptable as evidence in Court of Law.

6.     ASC Records (South) has decided to digitalize Sheet Rolls and Medical Documents in respect of Non-Effective personnel to preserve the documents even after prescribed retention period. Digitalization of service / medical documents has commenced with effect from 26 Jan 2014.
