MAUJI RAM HELPLINE

Mauji Ram Helpline is an institute which facilitates the serving and retired persons of the Regt to register their grievance and also obtain feedback on their grievances in person or online. This helpline is equipped with a kiosk machine, a grievance monitoring software, mil and civ telephone lines, fax, internet and intranet facilities to handle the grievances of all serving and ESM of JAT Regt. All queries of ESM/NOK are being attended and replied. ESM, their families/NOKs either can approach in person or can avail facilities though the following medias:-

At an average, 35 ESM visit the Records the JAT Regt daily for settlement of their queries/grievances. Their queries have been amicably addressed and replied on day to day basis.

ROLLING OUT OF ARPAN VER 3.0

Brig AN Jha, OIC Records inaugurated ARPAN version 3.0 on 22 Feb 2016. The ARPAN Ver 3.0 software was rolled out in Records, The JAT Regt in Feb 2016. In order to achieve 100% data migration from the previous version to the newer one, an intensive exercise was carried out by the Record Office staff to identify and fill up the data gaps as per the requirement of the new software. Data mapping of approx 24000 serving and 53000 retired pers of the Regt was carried out with utmost precision. Corollary, not even a single bit of data loss was reported during the migration resulting into smooth rolling out of ARPAN Ver 3.0 software. Post implementation of the software, the sys was successfully stabalised within a record period of 60 days and all the Groups/Sections of the Record Office began using this new ver of the ARPAN software.

INAUGURATION  OF  VEER  NARI  CELL

1.         The Indian Army has traditionally remained committed to its Veer Naris. Our Veterans, Veer Naris, Widows and their dependents are an integral part of the wider military fraternity, in keeping with our mil ethos and culture. On 29 Jun 2016, a special meet was organized to interact and address the problems of Veer Naris which was presided over by Mrs Anmol Pannu, Chairperson, AWWA Committee, Infantry Directorate. During the meet Mrs Anmol Pannu, Chairperson, AWWA Committee, Infantry Directorate expressed the solidarity with the cause and interacted with all the Veer Naris who witnessed the programme and also inaugurated the Veer Nari Cell in presence of Mrs Kavita Jha, Sr Dir FWO, The JAT Regtl Centre.

2.         After inauguration of Veer Nari Cell, a presentation on the functioning of the Veer Nari Cell and various entitlements of Veer Naris was org by Maj Deshraj Koundal, Veer Nari Cell to educate the Veer Naris. Consequently, a Standing Operating Procedure (SOP) on Veer Nari Cell was also released by the Chairperson, AWWA Committee, Infantry Directorate. The programme was concluded over a tea with the Veer Naris and felicitation to them by the Chairperson, AWWA Committee, Infantry Directorate. All the Veer Naris were happy and appreciated the efforts made by Records JAT for their well being.

FELICITATION OF VEER NARIES
Quarterly felicitation and interactive session in honour of Veer Naris of JAT Regiment are org at JAT Regt Centre, Bareilly by the Records. All their grievances are noted and action taken promptly as well as inform them about the changes in policies and other facilities for them. This yr the visits were as follows :-

Towards the end of the pgme the Veer Naries are felicitated with a souvenir as a gesture of appre. The Veer Naries, while leaving the Regt Centre, also gives their feedback for the Regt to improve its functioning further.

INAUGURATION  OF INTERACTIVE VOICE RESPONSE SYSTEM (IVRS)

Making use of the latest tech and making info available on all the means of communication being presently used by the troops of the Regt has been the endeavor of Records, The Jat Regt and installation of IVRS is yet another step in this direction. The IVRS has been made available on two mil lines (6344 and 6325) and civ line 0581-2510829. This facility has assured the troops as well as ex-servicemen of the Regt of providing them info regarding their docu 24 x 7 on their finger tips.

SMS ALERT

It has been our earnest endeavour to use the avail technology in our functioning so that the serving as well as retired JCOs/OR of the regt are benefitted to the maximum. Records Office basically being a service provider and providing info on docu being a major ingredient of the services provided, we have tried to provide info to serving and retired JCOs/OR by all possible ways and means. Crossing yet another mile stone we have started the SMS alert service wherein we provide SMS alerts pertaining to receipt and accepted rejection of the part II orders of the JCOs/OR, any imp policy issues in brief, employment opportunities etc on their mobile Nos.

INAUGURATION OF CENTRALISED EFFECTIVE RECORD GROUP LIBRARY

Brig AN Jha, OIC Records inaugurated Centralised ER Gp Lib on 28 Jul 2016. It is a bold step of Record Office to re-organise and re-formulate the work flow of the ER Gp which was being followed for last 64 years. Existing task wise functioning system of ER Gp has been re-designed to suite the need of the day with the use of modern equipment and technologies like barcode reader, Sheetroll Management software, Sheetroll carrying trolleys are being used for functioning to enhance speed, accuracy and accountability in the docu of the Regt.

LIAISON MEETING WITH PAO (OR)

Monthly Liaison meeting is organised with PAO (OR) in presence of CRO to resolve unadjusted claims/Pt II orders. The meeting is also attended by OIC Records on quarterly basis. With cordial relations and mutual understanding with PAO (OR) all dues are being adjusted in time. An amount of Rs 113 Crores (other than routine pay & allces) was remitted to all the JCOs/OR of the Regiment on account of the part II order adjustment and settlement of outstanding claims in the last financial year. So far in the current we have remitted Rs 121 Crores.

OTHER ACOMPLISHMENTS

Handing Over of PPOs to The Retiring Personnel.      At an average 80 pers of this Regt retires from service every month. A set procedure is in place which ensures the timely receipt of the pension docu of all the retirees, its checking and timely rectification of observations if any. Through this process and the concerted efforts of the Record Office it is ensured that all the retirees are handed over their Pension Payment Order (PPO) before their date of disch/retirement from the Army. A detailed SOP of Pre-discharge cell has been formulated to ensure accountability of staff towards achieving the aim.

REMITTANCE OF DEMISE GRANT

With effect from 15 Jan 2014 a sum of Rs 7000/- (Rupees seven thousand only) out of Army central Welfare Fund (ACWF) has been revised as demise grant to the deceased soldier. The amount is directly allotted to the Records Office on half yearly basis in Apr and Oct every year by the IHQ. A total thirteen lakh (only for 1st half) has been allotted to The JAT Records till date by the IHQ of MoD (Army). The complete amt has been remitted to the NOK.

REMITTANCE OF AMOUNT OF PDC & FSA CASES

It is experienced that number of Part II order in respect of retirees are not being adjusted during FSA. The ESM fwd their unadjusted obsns through Depot Coy as well directly to this office for adjustment of the same. This office is putting all efforts to adjust the outstanding dues of ESM as early as possible by deputing a dedicated staff to achive the 100% tgt by making liaison with PAO (OR). A sum of Rs 6,94,25,292/- (Rupees six crore ninety four lac twenty five thousand two hundred and ninety two only) has been adjusted and remitted to ESM/NOK during 2015. The results are encouraging which will immensely help the pensioners. Besides this, the fwg amt 01 Jan 2016 to 31 Oct 2016 have been adjusted and remitted.

REMITTANCE OF ARREARS TO THE PENSIONERS THROUGH PRIORITY-I PPO

It is a matter of great satisfaction that from Jan 2016, 1076 PPOs of PRIORITY-I have been forwarded to concerned PDA of pensioners. Searching and compilation of relevant supporting docu was a challenging task being a very old cases. However, a dedicated staff was put into clear the task with extra efforts through special drive and a sum of Rs 5,97,39,145/- (Rupees five crore ninety seven lakh thirty nine thousand one hundred forty five only) has been remitted to pensioners.
